Administrative Assistant

Job Responsibilities
Your specific duties as a Administrative Assistant will include:
- Compensation (Range): 23-30 / hour: Salary:
- Assists Project Managers in all administration functions and processes. Oversee and perform administrative functions concerned with a project under the direction of experienced project management professionals. This position is responsible for performing general administrative, back office support. This may include calling contractors, making appointments, creating, and tracking PRs, POs, and invoices, arranging meetings and preparing project reports. Good communication and collaboration skills are essential.
- Review accounting details including purchase order, work order, cost centers, etc.
- Determine if supporting documentation such as subcontractor invoices, timecards and other costs match with submitted invoices.
- Assist with material and equipment procurement (e.g. issue PO's to vendors)
- Assist with asset tracking and delivery (e.g. arrange, expedite and track shipment of materials to project location)
- Assist with meeting coordination, meeting notes, and meeting follow-up
- Attend project meetings, take notes and issue meeting minutes
- Maintain and perform project filing and document storage including transmittals, drawings, documents, facsimiles, contracts, etc. (
- Communicate pertinent information between management and staff
- Professional and courteous handling of incoming call
- Additional duties as assigned by supervisor to assist in the overall success of the project
Job Requirements
- Two (2) years of minimum work experience in similar role
- Experience in either the Industrial Gas industry or Construction industry is highly desirable
- Punctuality and professionalism
- Always act with personal integrity and transparency
- Extremely organized and detail-oriented
- Excellent verbal and written communication skills in English
- Adept at using computer applications (e.g. Google Docs, Sheets, Drive and Oracle)
- Learning new skills
- Exhibit objectivity and openness to team member's views
- Proactive
