Hourly pay range $ 30-33
Job Responsibilities
- Administrative Support: Manage calendars, schedule meetings (virtual and in-person), prepare agendas, take minutes, and track action items.
- Communication & Coordination: Act as the primary point of contact, screen and prioritize communications, draft correspondence, and ensure information flow across teams and stakeholders.
- Project & Event Coordination: Assist with planning and executing technical projects, workshops, and team events, including logistics and vendor coordination.
- Travel & Expense Management: Arrange domestic and international travel and process expense reports accurately.
- Document Management: Organize and maintain sensitive documents, reports, and presentations; assist with formatting and proofreading technical materials.
- Operational Support: Handle office equipment requests, onboarding of new hires, and access setup for technical systems.
- Data & Reporting: Compile data, create basic reports, and assist with presentations related to technical projects or departmental metrics.
- Strategic Support: Help develop and execute strategic initiatives and identify process improvements to enhance efficiency.
Job Requirements
- Associate's degree or equivalent experience (Bachelor's preferred).
- 3+ years in an administrative support role (Executive Assistant, Business Assistant), ideally in technology, engineering, or R&D.
- Proficiency in Microsoft Office Suite and collaboration tools (Teams, SharePoint, Google Workspace).
- Strong organizational and time management skills; ability to prioritize in a dynamic environment.
- Excellent verbal and written communication skills with attention to detail.
- Ability to handle sensitive information with discretion.
- Proactive, problem-solving mindset; able to work independently and collaboratively.
